We are currently looking for a Car Fleet and Travel Infrastructure Controller to join our Facilities Team. The successful candidate will be responsible for the complete administration and control of the company’s fleet activities, the online travel system and external travel services in EMEA. This position will be report directly to the Senior Facilities and Procurement Manager, EMEAR and will be based from our office in Amsterdam.


Key Responsibilities:

Car fleet:

Manage the acquisition, disposal, management and reporting of all company vehicles in EMEA.

  • Maintain and report vehicle listings and latest vehicle details to comply with company policies.
  • Manage the acquisition, disposal, management and reporting of the fuel card system and reports.
  • Ensure accurate administration of related activities, including fines, penalties, leases and maintenance.
  • Be the first point of contact for all employee enquiries and ensure resolution/conclusion.
  • Ensure best practices and compliance to all related legislation.
  • Review and recommend cost controls.
  • Review and recommend strategic directions to drive efficiencies across the business.

Travel and Travel Visa Infrastructure:

  • Manage the acquisition, disposal, management and reporting of all related supplier systems and services.
  • Ensure travel reservation and internal approval tools are available and support the business policies.
  • Ensure accurate administration of related systems, interfaces and policies.
  • Be the first point of contact for all employee enquiries and ensure resolution/conclusion.
  • Provide clear and updated information to travelers, including latest travel news, restrictions, security related issues and proper processes.
  • Review and recommend related improvements to optimize traveler experience and value.


  • Prepare and monitor budget, forecast planning and reporting for fleet and travel related services
  • Provide information to support Insurance programs, including vehicle and employee travel activities.
  • Support Business Continuity processes by ensuring relevant accurate information is available at all times on travelers’ activities.

Vereist profiel:

Knowledge, Skills and Experience:

  • Demonstrated experience of working with Fleet Administration in EMEAR
  • Experience of working within a multinational company and understanding international business environment
  • Experience with Fleet management databases, e.g. Fleetcheck, Drivercheck, Chevin-Fleetwave or bynx, is beneficial
  • Financial experience in preparing, maintaining and reporting on budget performance
  • Some experience in procurement and negotiating is beneficial
  • Good customer service skills
  • Good reporting skills using MS office providing accurate statistical data
  • Experience with Travel systems and service providers is beneficial
  • Good Microsoft Office (including Word and Excel).SAP experience is beneficial
  • Ability to work to agreed deadlines
  • Fluent in English, written & spoken. Other European language(s) beneficial
